Create calendar

In the Holiday/Absence module, it is possible to create multiple calendars. This gives you the flexibility to let different groups of employees follow different calendars, for example if there are differences in holidays, days off or working days.

For example, if you have employees in several countries, you can create a separate calendar for each country. If you are in an international company with, for example, both Denmark and England, you can create a calendar for Denmark, which basically contains all Danish holidays, and one for England that contains all holidays for England. You can also define whether the individual holidays should be paid days off or not. This setting is important when registering holidays on the days in question.

In addition, you can define how your work week looks. You can choose which weekdays should be considered weekends and which should be counted as working days. For example, if a group of your employees work on weekends, you can set up the calendar so that these days are included as working days when calculating vacation and absence. Similarly, other fixed days off during the week can be marked as weekend days.

This way, you can ensure that the calculation of vacation and absence always takes into account the employees' actual working days and local conditions.


To create a calendar, you must access the vacation/absence module in the menu bar on the right:


This requires that you have rights to access this. Under Settings>Rights, you have the option to adjust the rights. In order to have access to the module, the person will either need to have a role at the Department level or company level that allows access to vacation/absence. In addition, it will require that the role has access to "Access to work calendar" and "Access to add work calendar" in order to be able to create a "new calendar" and add this to employees.

Once you have accessed the Vacation & Absence module, you can click on Settings.



On the right you will have an overview of the calendars you have, and also add a new calendar:


When you click on New calendar , a new page opens, where you can first of all enter the Calendar name , for example, DK 2026 , and you also have the option to select the users/employees the calendar should apply to.
You must also decide which weekly days should be days off for employees in the specific calendar.


Then, a decision must be made on calendar rules for holidays, weekdays and special days.
You can add holidays individually, but you can also form a starting point by selecting holidays by country :


If you select United Kingdom, all official holidays in United Kingdom will be added.



All holidays are added as paid vacation by default, but this can be changed by clicking on the 3 dots on the right:




An overview of Other special days will also be displayed, which are initially registered as working days, but can also be changed to paid holidays by clicking on the 3 dots on the right:



You have the option to add additional annual events to the calendar, which must either be paid holidays or working days that simply need to appear on the calendar.



When you click New Annual Event , you will be able to add a name, a description, and define when the event occurs.



For example, if it is the company's birthday, it is possible to choose for the event to fall on the same date every year.
It may also be that the event falls on a specific day of the week in the month, or relative to Easter.
If you choose relative to Easter, you will simply be able to write -14 days, then the event will fall 14 days before Easter.



Once you have added an event, it will always appear when you create new calendars, so that you always have the option to add it to the individual calendar.
